Once a job has been created, the relevant approver information has been added to the job and it has been saved, the user will see a 4 step process for the job
Notice that there is a new ‘Approval Process’ state in the workflow now and the next available status the job can be moved to is ‘Approval requested’.
Changing the status to ‘Approval requested’ will automatically open the following email template that can be amended if required prior to sending
The ‘To’ address will be pre-populated with the relevant approvers that were added to the job
Any documents that have been attached to the job will be available to be included in the email
The body of the email will contain the specific url that the recipient/approver should use to see the information of the job and make their decision accordingly.
The email can then be sent.
When the approver receives the email and clicks the embedded url they will be presented with the following webpage, which shows the approver all the pertinent information about the job and provides them with the option of either approving or rejecting the job (with comments). If they decide to reject the job, they will be asked to provide a reason.
Once all the approvers have made their decision and submitted the forms, the relevant people (added for notifications) will receive an email informing them of the decision.
In addition, the job status will automatically change from ‘Request approval’ to ‘Open’ and the job will be posted on the relevant sources/channels.
Note: If after the job has been opened, anybody changes the salary, timeline and/or the headcount required for the job then the requisition approval process will be re-initiated.
