Create a new job
When creating a job on the system you will now see two options:
1. New Jobs – This is the existing (old) method of creating jobs
2. New Jobs (Automatic Workflow) – This is the new method of creating jobs
Note: We have left the old method of creating jobs in place until you are comfortable with the new process and in order to close down any existing jobs that used this old method. With the next release of the solution this old method will be removed and only the new improved method will be available.
When new method is chosen the user will be presented with the ‘New Job’ page. This page is split into 2 sections:
· Job Summary
· Job Settings
Job Summary
Depending on the customer specific fields you have defined to appear on this page, it will look different to the screenshot below, but with this new functionality there are a number of new standard fields
Salary: This allows the user to define whether the salary has been agreed. If the user chooses ‘salary’ then the system will show two new fields that allows the salary range to be entered.
Currency & Payment Interval: This field will appear if the salary range is being used
Job Settings
This section allows the user to define who should receive email communications based on the status of the job.
Status of Hired candidates: As each customer uses their own defined statuses, this drop down allows the user to define the status that identifies when a candidate is classed as hired. This is what defines when a job is closed (I.e. when the headcount is zero, based on the required number of candidates being hired) and so when the relevant email is sent out to appropriate people informing them of the closure of the requisition.
Send notification when job is released: A job is classed as released when it has been posted to the relevant sources and is open to candidates applying. The user can choose to set up an automatic email to the relevant people using a pre-configured template when this status is reached.
Send notification when job is closed: A job is classed as closed when the defined headcount for that job have been filled or when the timeline for that job has ended. The user can choose to set up an automatic email to the relevant people using a pre-configured template when either of these criteria are met.
Once a requisition has been created for the first time, the user will now see the following screen which shows the state that the job is currently in, indicated by the chevron being shaded blue
In order to publish the job to the relevant sources, the status needs to be changed to ‘open’
Changing the status will move the job into the subsequent state and the options available in the status field will change accordingly (‘Closed’ in this instance):
When the job has reached the allocated headcount or reached the end of its timeline, the job will automatically change to a ‘closed’ status (or the user manually changes to status to ‘Closed’). This will automatically take the job down from any published sources
