Candidate Application Form
The nature of jobs that need to be recruited for are varied and distinct in nature, which means that when you are asking candidates to apply for jobs you often need to collect different information from the candidate based on the nature of that job. For example, the information you need to get from a Sales Manager will be very different from the information you need when recruiting a nurse.
Configurable application forms allow users of the system to choose the relevant application form, depending on the type of job you are trying to fill. In order to use these forms a super user first needs to create the relevant application form templates. These can be accessed from the settings à Configurable forms area of the system.
1. Create a new application form and give it a name and description
2. Decide which vertical, location and employment type you want this application form associated to.
NB. Depending what you choose here, the form will only be available for use on a job when this combination of values has been chosen when creating the job
3. Decide how many chevrons you want the application form to consist of, by clicking the ‘+’ button to add new chevrons.
4. Highlight the relevant chevron you want to add fields to and then drag and drop the relevant fields onto the central grid
5. Decide which fields you want to make mandatory to the candidate. You can also remove fields if not required.
NB. There are certain fields that cannot be removed because the system always needs that information to be captured.
6. Once you are happy with the form content click ‘preview and save’.
Now that the content of the form has been created you can now decide what the layout of that form will look like to the candidate.
Once you have completed step 6 above, you will be presented with the following screen
The user can decide whether they want to present the application form to the candidate in one, two or three columns. Once decided, the user simply drags and drops the fields to the relevant area of the page. Once done, the user should go to the next chevron and do the same until all chevrons have been completed.
The final step is to save the layout.
The form is now available to be used on a job by job basis. When the user creates a job there is a new field, called ‘Application Form’. This is where the user chooses the relevant form to be used for this job.
Requisition Form
In order to cater for customers having different data capture requirements when they create new jobs, it is now possible to collect different information on a job based on the vertical, location and employment. This is possible by the introduction of configurable requisition forms.
In order to do this, a Super User first needs to create the requisition form templates. These can be accessed from the settings à Configurable forms area of the system.
Go to the ‘Requisitions Form’ tab.
1. Create a new form, giving it a name and a description
2. Drag and drop the types of fields you want to include on your form
3. Give each field a label name (which is what will appear when you use the form)
4. Choose which vertical, location and employment type you want to associate this requisition form to. This will result in this form only being available to use when these specific values have been chosen when creating a job
5. Save the form template
Once the form has been created it is possible to translate this form into multiple languages. Click the ‘translate’ button (shown in the screenshot above and you will be presented with the following scree. The user can then choose the relevant language and populate the translated values accordingly.
Once the new requisition form template has been created, it will be available for use when creating a new job.
Create a new job as normal, but you will now notice a new field, called ‘Requisition form’. This drop down will contain a list of the different requisition templates that have been created based on the vertical, location, and employment type that has been chosen when creating that job.
Once the job requisition has been created and has been sent for approval, the additional information that is specific to that requisition will also be included for the approver to see.
